Information concerning any visit will not be disclosed without the visitor’s permission,
absent compelling reasons (e.g. a court order or potential risk to safety). An ombudsman typically will refuse to testify
in any court or judicial or formal hearing. Ordinarily, the ombudsman destroys all notes and documents within 30 days of
the last contact with a visitor. On occasion, the ombudsman may, at the request of the visitor and if appropriate,
contact the other party (manager, supervisor, advisor, registrar, Dean) and seek additional information or clarification
to better understand the nature of the problem. Shuttle diplomacy between parties may also serve to improve
communications and resolve differences.
Neutral
The ombudsman seeks processes that are fair and equitable to all parties. The Office provides an
impartial and objective resource for the University community.
Independent
The University Ombudsman Office officially reports to the Provost but is independent of any
University administrative structure.
Notice to the University
The Ombudsman Office may assist in the informal resolution of concerns regarding a
variety of issues, including sexual harassment and discrimination. Talking to the ombudsman does not constitute notice to
the University, since the purpose of the Ombudsman Office is to provide a confidential forum where different options may
be considered. The ombudsman can provide the visitor with information about how a complaint may be made to the
University.
